1. CANCELLATION BY THE TRAVELLER
If a traveller wishes to cancel their tour or any service included in the package, the following conditions will apply:

Please ensure that your request includes your booking details, including your name, reservation number, and the specific services you wish to cancel.

Effective Cancellation Date: The date on which Kaveesh Tours receives your written cancellation notice will be regarded as the official cancellation date. It is advisable to allow sufficient time for processing, so please submit your request as early as possible.

Cancellation Charges: Cancellation charges will be assessed based on a tiered timeline, taking into account when the cancellation notice is received in relation to the departure date. Additionally, charges may vary depending on third-party policies associated with the services booked (such as accommodations, transportation, and excursions) and the specific type of tour package selected. Travellers should refer to the detailed terms and conditions to understand these potential charges fully.
By adhering to these guidelines, travellers can ensure a smooth cancellation process and be informed of any financial implications as a result.
2. STANDARD CANCELLATION CHARGES
Cancellation fees vary depending on the destination, season, service provider, and package terms. Typical charge structures include:

Between 15–30 days of departure: Up to 50% of the tour cost may be charged.

Between 7–14 days of departure: Up to 75% of the tour cost may be charged.

Within 7 days of departure: 100% cancellation charges apply, and no refund is provided.
Note: These percentages may differ for peak-season bookings, promotional fares, or packages involving non-refundable components.
3. CANCELLATIONS INVOLVING THIRD-PARTY SERVICES
Many travel components—such as flights, trains, ferries, cruises, hotels, activities, and entry permits—are subject to the specific policies set forth by the respective service providers. As a result, the following terms apply:

Any cancellation or modification fees imposed by third-party vendors will be the sole responsibility of the traveller. This includes charges for changes to itineraries, no-shows, or cancellations made after the provider's designated cut-off time.

Refunds for these services, where applicable, will adhere to the rules and timelines specified by each provider. This may include waiting periods for processing refunds, conditions under which a refund is granted, and the possibility of receiving store credit instead of a cash refund, depending on the provider's policy.
It is essential for travellers to familiarize themselves with these terms prior to making any arrangements to avoid unexpected costs or complications.
4. NON-REFUNDABLE COMPONENTS
The following fees and services are strictly non-refundable upon cancellation, ensuring clarity and transparency in our policies:

Visa Fees: Any costs associated with obtaining visas for travel, which may include processing fees charged by the relevant government authorities, are non-refundable.

Travel Insurance Costs: Premiums paid for travel insurance policies, including coverage for trip cancellations, medical emergencies, and other contingencies, are not eligible for refunds upon cancellation.

Taxes and Government Charges: Fees imposed by government entities, such as airport taxes or security fees, are also non-refundable once payment has been processed.

Booking Deposits: Any deposits made to secure a booking that are explicitly marked as non-refundable in the booking terms and conditions will not be returned in the event of a cancellation.

Special Fare Tickets: Tickets purchased at discounted rates or through promotional offers, which often include restrictions on changes or cancellations, are non-refundable.

Peak-Season Reservations: Bookings made during high-demand periods, such as holidays and vacation seasons, are subject to non-refundable terms due to their increased demand and associated costs.

Add-Ons and Upgrades: Any additional services or enhancements arranged in advance—including room upgrades, guided tours, or excursions—are non-refundable when the primary booking is cancelled.

5. CANCELLATION DUE TO VISA DELAY OR REJECTION

In case of visa-related issues, the following terms apply:

a. Visa Rejection Prior to Departure
If the traveller’s visa is rejected or delayed, preventing participation in the tour:

The cancellation will be treated as cancelled on the date we receive official intimation of the visa rejection or delay.

All relevant cancellation charges will apply as per the timeline.

b. Visa Issues Close to the Departure Date
If a visa delay or refusal occurs immediately before the scheduled departure:

Any resulting cancellation, rebooking, or deviation from the original itinerary will be subject to full cancellation and rebooking charges, which must be borne solely by the traveller.
Kaveesh Tours will provide assistance wherever possible, but cannot override embassy/consulate procedures or third-party regulations.
6. CANCELLATION BY KAVEESH TOURS
Kaveesh Tours may cancel or reschedule a tour in unavoidable circumstances such as operational issues, insufficient bookings, severe weather conditions, or force majeure events. In such cases:

Travellers will be offered an alternate tour date, replacement package, or a refund as per company policy.

Kaveesh Tours is not liable for any additional personal expenses incurred by travellers due to such cancellations (e.g., flight changes, accommodation extensions, etc.).
7. RESCHEDULING OR AMENDMENTS BY TRAVELLER
Requests to change travel dates, upgrade hotel accommodations, or modify trip itineraries are classified as amendments. Such requests are subject to the following considerations:

Availability of Services: Changes can only be made if there are available options that meet the new requirements. This includes hotel rooms, flights, and any other services associated with the itinerary.

Additional Charges: Be aware that modifications may incur additional fees from hotels, airlines, or other service providers. These charges can vary significantly based on the nature of the change, so it is advisable to inquire about potential costs beforehand.

Administrative Fee: Kaveesh Tours will apply an administrative fee for processing all amendments. This fee is intended to cover the extra work involved in adjusting travel arrangements and will be communicated to you at the time of the request.
Please note that amendments requested close to the departure date may present challenges due to limited availability and may result in cancellation charges from providers if changes cannot be accommodated. It is always best to submit any change requests as early as possible to minimize costs and ensure flexibility.
8. No-Show or Incomplete Attendance

Failure to report to the designated meeting point at the scheduled time or missing any segment of the tour will be classified as a no-show, which means you will forfeit your reservation and any associated services without a refund. It is essential to arrive promptly to avoid any inconvenience.

Please note that no refunds or partial refunds will be provided for unused services or missed tour segments. This policy is in place to ensure that resources are allocated efficiently and to maintain the overall experience for all participants.

Late arrivals or personal emergencies that occur during the tour will not qualify for reimbursement or rescheduling. We encourage participants to plan accordingly and allow ample time to arrive, as we strive to maintain the tour schedule and ensure a seamless experience for all attendees.
9. FORCE MAJEURE SITUATIONS
Circumstances beyond the company's control—such as natural disasters, political unrest, pandemics, or government restrictions—may lead to significant changes or cancellations of planned trips or services. In these situations, travellers should be aware of the following:
